How to manage user licenses

A user license allows users of a workspace to use the whole Datawrapper app (create visualizations, edit and publish, comment, etc.) as set up by the workspace admin.
Everyone who's on your workspace and edits visualizations needs a user license, no matter their role.
You don't need to buy and use licenses for workspace members who are not editing visualizations (even if they are workspace managers or admins). If you give them read-only permissions, they can still view and comment on visualizations, but are not increasing the license count.
Buying/removing user licenses
If you're on the Pro or Business plan and you're a workspace admin, you can buy and remove licenses in the Billing & Plan settings. If you invite more people with edit permissions than you have licenses, you will also be able to buy new licenses for them directly from the invite pop-up.
If you're an admin, you can also give workspace & team managers the power to add (but not remove) user licenses in the Billing & Plan settings. Workspace and team managers can always use unassigned licenses to invite new people, but if you enable this option, they will also be able to add new licenses, which will increase your bill accordingly.

What happens when I run out of licenses?
If you don't have any user licenses left to assign, you won't be able to invite new people with edit permissions to your workspace, and you won't be able to give edit permissions to existing read-only members.
To add more user licenses to your workspace, you can buy more in the Billing & Plan settings, as described above.
You can also free up licenses – either by removing people from your workspace, or by changing their permission to read-only. Note that you need to be Workspace manager or admin to do either.
Can I free up a license without removing the workspace member?
Yes. Only workspace members with edit permissions need user licenses. If you change the edit permissions from a workspace member to read-only, they can stay in the workspace without using a license. Learn more about edit permissions here.
What happens when I add/remove licenses halfway through the year/month?
You can add or remove licenses anytime, no matter if you're on a monthly or yearly plan.
If you add licenses and your monthly or yearly cost increases, changes are available immediately and billed for the rest of your current period.
If you remove licenses and your monthly or yearly cost decreases, changes take effect at renewal and your current plan's features and licenses remain available until then.
What happens to someone's license when they leave the workspace?
If a workspace member with edit permissions leaves your workspace or you remove them, it will free up again. It can then be assigned to somebody else, or, if not needed, be removed.
Who can see how many licenses my workspace has and are left to use?
Workspace managers and admins can see how many licenses are left to use in the Billing & Plan settings. Team managers see how many licenses are left to use once they try to invite new people to their team.
How can I see who holds a license in my workspace?
If you're a workspace admin or manager or a team manager, you can see who holds a license in the Member settings. If the user has a View only tag in the Permissions column, they don’t use a license.
